Define the project question first
Describe the organisation type, general area in Shenzhen or Hong Kong, age bands and group-size range, current schedule and support needed. Frame the need as a task to discuss, such as organising a programme plan, coordinating a team’s training week or supporting existing coaches’ learning. Use group-level information for the first conversation, without student lists, personal health records or parents’ contact details. Start with one organisational contact.
Clarify people, delivery and safeguarding responsibilities
Before confirming cooperation, identify who handles professional support, on-site organisation, supervision and handover, family communication and concerns. Confirm each proposed coach’s actual scope and availability. FIFA Guardians provides policy and practice resources for safeguarding discussions; citing them does not mean KINTREON or a partner is endorsed by FIFA. The parties must identify actual staff, responsible contacts and procedures rather than relying on a website description.
Include venue and weather arrangements
State whether the venue is authorised for the proposed activity, the equipment and available times. Before starting, agree who checks conditions and weather information, decides on suspension or rescheduling and informs participants. The Hong Kong Observatory advises outdoor sports facility managers to monitor conditions and instruct users appropriately during thunderstorm warnings. Shenzhen projects should consult local meteorological information. Confirm local warnings, venue requirements and project arrangements separately; this page does not define an automatic operating rule for both cities.
Start the conversation with a one-page brief
A useful outline includes the organisation and area, goal, age and group-size bands, existing staff, schedule and venue, support needed, budget range if agreed, and the coordinating contact. The team uses this to discuss availability and scope. Confirm the quote, service period, delivery records, feedback points, cancellations and follow-up responsibilities before cooperation. Coaching or programme support is distinct from adult coach education. An enquiry does not confirm an immediately available coach or a partnership.
